EcoShine is committed to protecting the privacy and personal data of both its customers and employees. As a company built on trust, confidentiality, and transparency, we take seriously our obligation to collect, store, use, and manage information in a secure and respectful manner. This Data Protection and Privacy Policy outlines how EcoShine handles personal information and ensures compliance with applicable privacy laws and regulations. It applies to all employees, contractors, customers, and any third-party partners who interact with our systems or data.

For the purposes of this policy, “personal data” includes any information that can be used to identify an individual, such as a name, phone number, address, email address, payment details, or other identifying information. For employees, this may also include payroll records, emergency contacts, background check results, tax documentation, or insurance details. For customers, it may include service history, contact details, billing records, and photos of exterior property taken before or after service.

EcoShine collects only the information necessary to provide our services, manage our operations, fulfill legal obligations, and communicate effectively with our clients and staff. Personal data is collected through service inquiries, job applications, estimate requests, customer intake forms, onboarding paperwork, and employee management systems. We do not sell or rent personal data to any third party. Data may be shared with trusted service providers (such as payroll processors, insurance providers, or digital platforms) solely for business-related purposes, and only under strict confidentiality and data protection agreements.

All personal data is stored securely using encrypted digital systems, password-protected accounts, and secure servers. Physical records are limited and stored in locked locations with restricted access. EcoShine employs reasonable and up-to-date cybersecurity measures to protect against unauthorized access, loss, or misuse of information. Employees are trained on data protection best practices and are expected to treat all customer and company information with care, confidentiality, and professionalism. Access to personal information is granted only to employees or contractors who require it to perform their job duties, and misuse of any data is considered a serious violation of company policy and may result in disciplinary action or termination.

Customers have the right to request access to their data, correct inaccuracies, or request deletion of their personal information, subject to legal or operational limitations. Employees may also request access to their employment records or make corrections by submitting a written request to management or human resources. Requests will be handled promptly and respectfully in accordance with applicable privacy regulations.

EcoShine retains personal data for the length of the business relationship. Once data is no longer needed, it is securely deleted, shredded, or otherwise destroyed in a manner that prevents recovery. We continuously monitor and update our data protection practices to ensure they reflect evolving legal standards and industry best practices.

In the event of a data breach or suspected security incident, EcoShine will take immediate action to assess the risk, contain the breach, and notify affected parties and relevant authorities as required by law. Our goal is to act swiftly, transparently, and with accountability to minimize any potential harm and restore the integrity of our systems.
